We have worked hard to make KanBo even better, and have added a number of exciting improvements. In this article, you will find all of the features that have been shipped in the KanBo 2.7 Release.

Board Analytics

KanBo Board analytics will help you understand what’s happening in a Board and give you an overview of all actions. You will be presented with:

• Cards progress overview representing the apportionment of statuses among Cards,
• Insights about: how many days are left to complete Cards, how many Cards are left, what is the progress of completing Cards and what’s the Activity index in a Board,
• Most active users,
• Trending cards,
• Cumulative flow for statuses or lists,
• Activities diagram,
• Cycle time histogram.

Gantt Charts

KanBo Board is now equipped with a Gantt Chart view. Once you set a Start date and a Due Date to a Card, it will appear in this chart. You can manage the dates of Card by adjusting lines on the chart. 

All Card relations (Parent, Child, Next, Previous) which you set to a Card will be visible on a chart too.  

On the left pane, you will see who is responsible for any Card visible in the Gantt Chart and how it is related to other Cards. 

The equivalent of Timeline will present you the current time spread for the period of a month.

Display Board Activity Stream on KanBo Home

Now all Board’s activities can be seen within a single click from your KanBo Home. Simply hover over a Board to see the special Activities icon. Click on it to see the entire Activities stream in a form of a pop-up.

Export Boards to a .csv file

With this functionality, you can export a Board’s content into a .csv file. The most important information about Cards will be exported, including the card’s location in Board, members, and dates. This will help you display it in a highly visual manner in Excel and use i.e. for reporting.

Adding custom links to Personal KanBo Home is now available! You can now add any link to external sites and enter it right from your KanBo.

Subcard and Subcard groups

In a scenario where a single Card is complex and covers a set of activities which need to be completed, you can use a Subcard functionality to mark your subactions. All cards added here will become subcards and will be related to the original card as a child.

Subcards are collected in a Subcard group which can be added to a Card as an element.

You can create many Subcard groups and manage them just like other Card’s elements. When you move a user (using Drag&Drop) into a subcard, he will become a person responsible or a co-worker (if for now there are no users responsible) in this subcard.

Subcard groups will indicate a progress of completing cards within in, using a progress bar above it.

Child card dates dependencies

We wanted to visualize in a natural way that the plan someone has put in KanBo might have a problem because some of the sub cards fall out of the planned time frame. Whenever a card is affected by the time frame of the subcard, it will be indicated in the board view

Convert Todo list into a Subcard group

You can convert an existing Todo list into a Subcard group. Consequently, all items of this todo list will become subcards of the original card.

These subcards will be added to the same list where the original Card lies. You can change that using a picker which comes after you select “Convert to subcard group”. Simply change a list in a current board or choose a different Board and list in it.

Additional features for Todo lists

  • If you move a person from the Users section (using Drag&Drop) into a Todo item, a new Subcard will be created from this task. This subcard will be added to the same list as the original card (or another list if you chose it in the picker). A person which you moved onto this item, will become a person responsible for this Subcard.
  • If in a Todo item a person is mentioned (@Name Lastname) and you convert this item into a subcard or card, this mentioned person will be assigned as a person responsible for this card or subcard.  If there are many users assigned to a Todo item, the first one will be assigned as a person responsible and other users will become co-workers.

Search, Find and select the right context with Megapicker add-in

We have improved functionality for picking a Card in many places: Relations, Subcard Groups, Move Card section.

Now you can easily choose a Card from the current board or any other Board in KanBo.

In the first view, you can search for the desired card using the Search field (you may limit the search scope to this board or not). Instead of searching for it, you can also paste the card’s address to be found for you.

There is also a possibility to select an existing card from this board or any other chosen board. Simply start typing its name or expand the Boards field to see other Boards to which you have access to.

You may also create a new card in the Picker.

The new picker functionality is powered by KanBo Search component. In consequence, the new results (like new cards or boards) will be immediately shown in picker as the Search indexes them.

Display of user permissions in a Board

Now the Users section in Board will show you users’ permissions:  who is Owner, Member, and Visitor. You can add users with adequate permissions right away by taking advantage of a +Add button.

Collapse Board Groups

In the previous version, we introduced the concept of your own and personalized KanBo Home.

You can arrange all Boards as you need and only you will be able to see your composition of Boards in Board Groups (as every Personal KanBo Home composition is individual).

Once a Board Group gets too big, you can simply collapse it and later, expand it.

Match all or Match any in Filters

You can choose 2 other filtering options:

Match all – in this scenario, two filtering conditions must appear simultaneously to show you results.

Match any – in this scenario, at least one filtering circumstance must be fulfilled to show you results.

Bookmarks functionality allows you to attribute and collect all interesting notifications and messages from KanBo Boards and Cards.

Go to your Profile and then, Bookmarks section to see all pinned activities across many Boards.

Important information within a single click. How?

New functionalities for Labels

We have improved Labels functionality. Simply go to Board Settings and then to Labels section to try it. You can now use Search inside of Labels section. To change the order of labels, you can move them using Dra&Drop.

There is also a possibility to create Labels inside a Card and add them right away.

This functionality will allow you to attach the most important information about a Board (i.e: it’s purpose or goals).

You can attach general information about a Board:

  • Start date,
  • End date,
  • Responsible person,
  • Estimated budget (in a chosen currency),

You will see also when the board was created as well as count members and cards in it. Simply click on any field to add values into it.

Add documents to Card by Drag&Drop from Documents section

Now when you enter Document section in a Card, you will be able to grab a document and then move it to the Card area using Drag&Drop. The document will be added to this card.

New KanBo Outlook Add-in

We have rebuilt and improved KanBo Outlook App. The Outlook App makes it easy for you transfer information from an email to KanBo. This App equips you with the ability to convert Emails into KanBo Cards. It is also possible to select an existing KanBo Card and attach information from the email to it.

Incoming Emails

The Incoming Emails feature will allow you to send emails directly to a KanBo Board and create a new Card out of the email.

It will also allow you to add email and its attachments to an existing KanBo Card.

Closed boards improvement

In case a user has a board added to his personal KanBo Home and this board gets closed, it will be indicated on the board’s tile.
Now you can very simply re-open any Board right from the KanBo Home!

Grouping of activities and setting detail levels

In Board and Card Activity Steam, activities will be grouped by two aspects: time and cards to which activities are applied. The same grouping applies to cards.

We also introduce a new way of customizing your notifications. Now you can set 3 detail levels of notifications which are seen in a Board and on a Card:

  • Everything: At this level, everything that is a board or card activity is being shown.
  • Relevant: At this level, you will see a mix of most relevant card activities (adding a member, moving the card through lists etc.) including comments (default).
  • Comments: At this level, the user will only see comments and no other activities.

You can set detail level to your KanBo and notifications email notifications. As a consequence, you will receive emails with notifications belonging to one of three detail levels.

Information if a Board is public

You will be informed if a Board is public. It’s now indicated on the Board’s tile. Boards which don’t have this indication are private boards.

Change type of Boards

In case your public boards are used to store i.e. confidential information, which shouldn’t be shared publicly, you can change your public board to become a private board. With this functionality, a board will be set as private and only users added to this board will have access to it. It won’t be open for everyone to see as it was before. You can change a private board to become a public board as well.

List roles

We have equipped lists with roles. This functionality will allow you to manage your workflow through the list more efficiently.

In a scenario you don’t haveCard statuses enabled in a Board, List roles will be set to all Lists. There are 4 fixed roles out of which each List must choose its role (None, Not started, In progress, Completed).

List headers with statistics of the cards’ progress.

Now list headers will indicate how many todo items and subcards are completed in all cards in this list. You will see also an icon and percentage of completing these elements. You are able to see this information in the List view as well as in the Status view.

How to build a new dimension of workflow?

List descriptions

There are scenarios where certain lists serve for a special purpose or you would like to describe it for other users which are using a Board.

Now you can add a description to a List easily. Enter any Board, then select information button on a List to enter your description. Formatting in the rich text is supported.

As an additional feature,  the list description will be visible when you hover your cursor over a list.

Improvement of showing dates of a Timeline

This functionality will appear on Board’s and MyBoard’s Timeline. Now, when there are cards with dates which differ in the meaning of completing them, the dot on Timeline will be shown in 2 colors (grey, yellow and red).

Card’s new look in a Board

We have changed Cards’ looks in a Board. The biggest changes are:

  • removing the grey section,
  • changing icons’ location,
  • bolding the card’s progress line.

Improvements of Card statuses

  • Removal of the status should set the default value for cards before being removed.
  • Creating a card should set its default status if the board has statuses enabled.
  • Creating a card from a checklist item should set its default status if the board has statuses enabled.

Tasks relations

In case your projects are complex, you might not be aware what are the dependencies between various Cards in your Board. Now you can set a logical relation for every Card and gain a new view of the dependencies between your work activities. Card Relations will help you group Cards related to each other and connect them.

The available relations are:

  • Parent and child.

In this relation, one card is superior to a child card, which becomes a sub card of the superior (parent) card.

  • Previous and next card.

In this relation, one card must be completed, before you can start work on the next card.

Card relations are visually indicated in the Gantt chart view of a Board.

There is the possibility of creating multiple parents for cards in their relations. In such scenarios, there can be 2 or more parent cards for one child card. This relation is also indicated in the Gantt chart.

Gantt charts and Analytics Board settings

In the freshly created boards, Gantt charts and Analytics views will be disabled by default. As a Board owner, you can enable this view to your Board. This can be achieved by going to Boards Settings, then General and selecting Enable option to Gantt chart or Analytics settings.

Extended Card statuses

We have changed the performance of Card statuses.

In KanBo 2.7, there are 3 fixed roles out of which each status must choose its Role. A status must have a role and the roles can appear multiple times. The possible roles are: Not started, In progress and Completed. Not started is a default one when creating a new status.

Labels’ actions will be indicated in Card’s and Board’s stream

Now when you:

  • add or remove labels from a Card,
  • add a new label in a Board,
  • change name of a label,
  • remove a label from a Board,

the action will be indicated in Card’s or Board’s stream, depending on to which area the action is corresponding to.

Register folders as Document Sources and other improvements

The Document Sources registration process has been enhanced by us. This functionality allows you to attach multiple already existing SharePoint Document Libraries to one board! What is more, permissions from these libraries have priority over a board.

Firstly, you can now register not only a whole Document Library as a KanBo Document Source but a single folder from this DocLib. The second improvement is that KanBo will automatically collect an address of the SharePoint Site in Document library URL – you just need to adjust the name of it on the end of the address.

We present you also another improvement. Now when you move a card containing files from custom Document Sources between boards which have these Document Sources attached, this file won’t be overwritten or added again.

In the previous release of KanBo, we introduced adding folders to KanBo Board’s documents. Now you are also able to remove them.

Add links to documents on Network Shares

Now you can add a link leading to your local drive location (path) where your documents are stored. Example of such a path can be i.e.: C:\files. You can add a link to any KanBo elements which supports links: notes, comments, todo items.

Improvements in the Archive section

Archive section in a Board collects all Cards which have been archived.

We have improved this section visually, i.e. by introducing infinite scrolling to it.

Now you can also search for any Cards added to Archive easily.  Type your query in the searching field to find any archived Card.

Links to KanBo Cards/Boards are now indicated by an icon and are loaded much faster

Now links leading to cards and boards in your internal KanBo will be marked with a special icon. Once you click on them, they will be loaded much faster (without KanBo reload).

Move between cards using keys inside of a card

Now you can move through Cards in one list using keyboard shortcuts.
Once you are in a card you can press:

SHIFT + P keys combination to see the previous card in a list.
SHIFT + N keys combination to see the next card in a list.

Indication when a Card is completed

Once you move your Card to a List with “Completed” role or you set an adequate status for this Card, you will be informed about this fact.

This information will appear in a section in a Card (in a left pane), presenting also who has marked this Card as completed and when.

Question about deleting a Card’s element

Now, while you delete a Card element (i.e. Note, Subcard group), you will be asked if you are sure about deleting this element. This will help you prevent deleting an important element accidentally.

Card dates’ improvements

Now in the card dates section, you will see more information regarding dates. Not only the exact date will be shown, but you will be presented with information about how many days ago the date has passed or how many days are left until the date comes.
The other functionality is indicating a late start date. If a Card’s start date has passed and the Card has the status inherited from a Role of “Not Started”, red dots indicating this date will be displayed on the Timeline. This will also be indicated inside Card’s dates section. In Analytics this card will also be interpreted as Late.

Manual adding cards to MyBoard (in bulk)

You can add all Cards in which you are working to MyBoard by a single click of a mouse. This functionality will speed up filling your personal board. You can also specify if you wish to add
cards in which you are a person responsible or a co-worker – or even both!

 Auto-adding Cards to MyBoard

Now you can set rules for adding Cards to MyBoard. The special settings allow you to enable the possibility of automatically adding cards where you are assigned a person responsible or a coworker.
This functionality will enable auto-adding Cards to MyBoard only from the moment in which you enable it.

Bulk removal of archived cards in MyBoard

In case user has lots of archived cards in MyBoard, they can be removed from a list by a single click. This allows to clean a MyBoard of unused Cards. The unarchived cards will remain in the list. This has no impact of these cards in their real Boards – they will stay there, only removal from MyBoard is done.

No Instances

In case you have many KanBo instances, you can split and update each instance to become a stand-alone KanBo Web Application.

Your whole KanBo data will be located only in the Content Database and the other databases won’t be needed further. What is more, you can also set up a different domain for every single KanBo environment.

Active Directory User and Groups Synchronisation

KanBo supports synchronization of users from a chosen Organizational Unit out of your local
Active Directory. All users collected in an OU will be added to KanBo.

You can also synchronize your Active Directory groups in KanBo External Groups.

User groups allow you to keep users you collaborate within one place and can be created for
any purpose, but they are helpful especially for gathering a group of users connected by a
common task or job. They also enable you to add a whole group of users to the desired Board
within a few clicks.

SharePoint Site Collections Balancing

With SharePoint Site Collection Balancing, you increase the number of Site Collections in which KanBo sites will be created and balance a load of sites between them.

This functionality helps you bypass issues when your site limit in Site Collection is exceeding. You can read more about boundaries of SharePoint in a Microsoft’s documentation.

With Balancing of SharePoint Site Collection functionality, you will be able to declare several Site Collections in which KanBo sites will be created as well as adjust a limit of sites to be created per single Site Collection.

This tool skips Site Collections that are considered full and respects deleted Boards (new Boards can be added in place of the deleted ones).

You can also set Admin Warnings to get notified whether Site Collection limit is exceeding or if KanBo license is going to expire soon.

Upgrade Databases in KanBo Setup

KanBo Setup enables you to configure KanBo settings. Setup appears in 2 scenarios: when KanBo is installed and when you enter KanBo config.

You can now also Upgrade Databases after performing KanBo Update Procedure.

The button replaces this step in the update procedure – Upgrading KanBo SQL Databases.

Additional functionalities:

  1. You can now disable creation of public boards by setting the following entry in KanBo web.config <add key=”KanBoAllowPublicBoards” value=”false” />. Read more here.
  2. In KanBo 2.7, you can create kanbo.apps automatically by adjusting a special plugin in configuration. Read more here.
  3. In several cases, a user which is freshly added to KanBo might see a communicate regarding no access (which is generated by SharePoint). With our special plugin, users will get access to KanBo automatically (even without adding them to KanBo first). In this case, they will become visitors and have no access to Boards (until you add them to chosen Boards).  Read more here.
  4. After an update, a portion of KanBo address gets lost (“intranet/1”). To enable users to enter updated KanBo, you can set an entry in web.config to enable redirecting from old address to the new one. Read more here.
  5. We resolved the issue of colliding board’s URLs. When a Board is created, a new sub-site for this Board is created on a Site Collection. When a Board is removed and a new one is created on its place, a collision might happen on the Site Collection level. With the new KanBo functionality, the collision will not take place as the new Board will be created with the different name as a sub-site on SharePoint.
  6. New API is available for all developers which would like to create customs solutions with KanBo. Read more here.
